Major Responsibilities 

  • Calendar management of the function head.
  • Scheduling travel, processing expenses
  • Managing correspondence on behalf of the function head as and when required
  • Meeting/event planning,
  • Preparing presentations from source materials,
  • Handling teleconferences, acting as a liaison for remote access issues.
  • May include some support for tracking budget expenditures.
  • Coordinates and maintains departmental files, as assigned, in compliance with corporate and government regulations.
  • Follows purchasing and requisition procedures, Corporate Security and Privacy Rules, Corporate Branding Guidelines, and Copy Center procedures (if applicable).
  • Manage ID Cards, business cards and stationery for employees including new hires.
  • Coordinates new employee office set-ups and provide travel assistance, if needed.
  • Uses advanced software skills to perform work assigned.
  • Uses and understands Microsoft Office Suite and other business-specific software, including the Corporate Travel Web site, and employee performance management systems (as applicable).
  • Manage the work station stock and seat allocation of the HO employees in BKC
  • Organise meetings, document and circulate Minutes of the Meetings and track and follow up for actions
  • Maintain employee data base for internal use – Monthly org chart updates and submission to Area as needed.
  • Lead and organize employee celebrations / festivals in the office
  • Plan and organize key events like KOM, Monthly Governance meetings etc and provide support to other functions to organize events (eg, marketing) whenever required.
